Health Quality Innovators (HQI) is seeking an experienced Executive Assistant to provide high-level administrative and executive support to HQI’s Leadership Team and serve as a key resource in coordinating executive, Board, and organizational activities.
This role is ideal for a highly organized, proactive self-starter who anticipates needs, manages competing priorities, follows through on commitments, and exercises sound independent judgment while handling confidential and time-sensitive information.

What You’ll Do
- Provide high-level executive and administrative support to members of the Leadership Team and ensure timely follow-through on priorities and requests
- Review and route incoming correspondence from federal and state agencies, hospitals, client organizations, and other stakeholders, and monitor associated deadlines
- Coordinate Board of Directors functions and meetings, including Executive and Audit and Compliance Committee meetings
- Research, gather, organize, and compile background information to support executive communications, reports, meetings, and organizational needs
- Prepare, format, proofread, and edit agendas, minutes, reports, presentations, correspondence, RFP proposals, and other executive-level materials
- Record, prepare, and distribute meeting minutes and materials for All Team, COR, Leadership Team, Board-related, and other special meetings
- Communicate professionally with CMS officials, customers, Board members, and other external stakeholders
- Maintain accurate and organized corporate, contract, Board-related, and leadership files and records
- Manage Leadership Team calendars and coordinate meetings, including Microsoft Teams meetings, invitations, attendees, materials, and logistics
- Coordinate attendance and travel arrangements for Leadership Team members and members of the Board of Directors
Required Qualifications
- Bachelor’s degree required
- Five to seven years of administrative experience supporting executive-level personnel
- High level of interpersonal skills and discretion when handling sensitive and confidential information
- Excellent analytical, organizational, written, and verbal communication skills
- Ability to manage multiple competing tasks and priorities
- Proficiency with Microsoft Office products, including Outlook, Teams, Word, Excel, and PowerPoint
- Demonstrated ability to manage executive calendars, coordinate schedules, and organize Microsoft Teams meetings
- Ability to work independently and exercise sound judgment with minimal direction
- Highly organized, detail-oriented, dependable, and proactive, with the ability to anticipate needs and follow tasks through to completion
